Checklist

Before you give it access

What to check before you connect email, files, or business systems, and who on the team decides each one.

Connecting an AI assistant to your email, files, or business systems makes it far more useful, and it lets the assistant read what those systems hold. Work through this list with the person who owns each system before you switch a connection on.

Before any connection

  • Name the job the connection is for, in one sentence.
  • Check what your team’s plan does with the data you connect.
  • Pick one person who approves new connections.

Email and chat

  • Decide whether it can read, draft, or send. Start with read and draft.
  • Leave out shared inboxes that hold payment details.

Files

  • Connect one folder first, not the whole drive.
  • Check who else can see that folder today. The assistant sees what you see.
A connections screen: email, the shared drive, and the calendar are on; payroll files stay off by data policy.

Business systems

  • Ask the system’s owner before you connect it.
  • Start with read-only access, and write down when you’ll review it.
